Support for the relocation of employees from abroad and the development of systemic solutions at the University of Warsaw in the area of their adaptation to work and life in Poland
As part of the IDUB programme, in 2026 the Welcome Point of the
University of Warsaw will continue and expand activities supporting international employees and doctoral candidates at UW. These activities will include administrative and legal assistance, as well as adaptation programmes, trainings, and tools that facilitate functioning within the university.
1. The Welcome Point office at the Ochota Campus
The Welcome Point branch located in the CENT building, operating since 2021, is an important support hub for the international community working at the Ochota Campus. Availability of a lawyer on duty twice a week enables ongoing assistance with complex matters related to the legalisation of stay – one of the most common challenges faced by international employees and students. The office is a place providing quick and competent support.
Welcome Point uses the Online Registration System for Foreign Visitors. (IRGZ), enabling the registration of international guests visiting UW. The system stores data, generates documents, and integrates with USOS and the University Library system. Further development of the tool is planned in 2026, along with ongoing technical support to ensure its smooth operation.
2. Adaptation and training programme for international employees
- Year-long Polish language course – This online course offers instruction in five groups at different proficiency levels (from beginner A1 to lower advanced C1). Since 2021, it has received excellent feedback from international staff and significantly accelerated their adaptation in Poland. The course is organised together with the Centre of Polish Language and Culture for Foreigners „Polonicum”.
- Welcome Meetings – Welcome sessions in English for newly hired international employees. They include information on UW’s structure and work organisation, available forms of support, and guidance on using key administrative and IT tools. Due to ongoing recruitment, two meetings per semester are planned.
- USOS training – A basic online training course delivered by the USOS coordinator, preparing employees to use UW’s main information system.
- Theatre improvisation workshops – An integration-focused workshop series bringing together Polish and international employees, strengthening soft skills and the sense of belonging to the university community. After a very successful pilot edition, the programme is planned to continue in two groups: Open (beginner) and Master (advanced).
- Guided walks – Thematic tours of Warsaw and UW Main Campus that complement the onboarding process, supporting integration and helping participants better understand the cultural context.
