IV.3.1. Internal grants of the University of Warsaw for the employees’ research potential increase • I.2.4. Supporting publishing activity in the open access model – 2nd edition

The main objective of the internal grant system is to support development and growth of the potential of academic staff employed at the University of Warsaw and PhD students. Within the framework of the system two activities are implemented:

  • IV.3.1. Internal grants of the University of Warsaw to increase the research potential of employees
  • I.2.4. Supporting publishing activity in the open access model

General principles

  1. The beneficiaries of the tasks may be employees of faculties or other organisational units of the University of Warsaw, classified as N number and PhD students planning to take action aimed at increasing their scientific potential. Students will benefit specially dedicated microgrant system, which will be launched at a later date.
  2. The condition to enter the competition is to submit a completed application form available on the website: https://mikrogranty.ckc.uw.edu.pl/en/form/
  3. Applications may be submitted on a continuous basis.
  4. IDUB support can be used twice a year, but not earlier than after the previous task has been successfully completed.
  5. Application processing: max. 21 days from the submission of an application that meets the formal requirements.
  6. Implementation condition: obtaining the consent of the Dean or the head of the University of Warsaw’s basic unit to carry out the task and confirming commitment of the unit’s. Commitment of the unit’s concerns the following tasks: organisation of the conferences by UW, funding for the publication, study visits, and preliminary research.
  7. Settlement: Allocated funds are subject to settlement in the Research Services Office (the substantive settlement should be accompanied by a statement of costs signed by the Proxy of the Quaestor’s Plenipotentiary at the Faculty / Unit within 30 days of completing the task).
  8. Implementation period is 6 months.
  9. It is recommended to send an applications in electronic form.

Document circulation

  1. A scan of the completed and signed by the Head of the unit application should be sent to the following address: mikrogranty.idub@uw.edu.pl (Note: new e-mail address!). The signature of the grant applicant and the Head of unit may be electronic qualified signatures.
  2. The decision on awarding the grant/refusing to award the grant/ completing the application is taken by the Programme Manager – Vice-Rector for Research
  3. The Research Services Office prepares a letter informing the applicant, the Head of Unit and the Financial Department about decision of the Programme Manager together with the amount of the allocated funding and the specified source of funding (IDUB).
  4. Grants awarded under the UW’s internal system shall be settled in the organisational units.

I. MICROGRANTS

Detailed rules for the specific types of support under the microgrant scheme:

1. Attendance at the conference

  • Active (presentation or participation in the panel) participation in conferences and seminars organised in Poland and abroad is financed.
  • The conference must be organised by prestigious, international research cooperation networks or other networks associating researchers, as well as scientific institutions that conduct research in the disciplines evaluated in the first hundred rankings by subject (Shanghai, THE, QS – at least in one of them).
  • In the case of a request that does not meet the above conditions, additional justification is required as to whether participation in a conference is justified.
  • Eligible costs are all expenses related to participation in a conference, including: travel, subsistence, conference fee.

The maximum duration of a conference is 5 days. A longer stay is possible provided that it is justified for financial reasons (e.g. cost of air ticket).

The application should be accompanied by the organizers’ confirmation of acceptance about the paper / presentation for submission or participation in the discussion panel.

2. Organisation of the conferences by the University of Warsaw

  • The financial support is mainly provided for the arrival and stay costs of guests from outside the UW who actively participates in the conference organised by the University of Warsaw. It is possible to co-finance a conference organised by several institutions also outside the University of Warsaw. However, it is necessary to include UW as one of the main organisers.
  • The costs of conference materials and room rental can also be financed.
  • Catering cannot be financed from the grant.
  • In case of receiving a subsidy from IDUB funds, the participation of UW employees is free of charge.
  • Maximum co-financing is PLN 20 000 (not applicable to the organization of large scientific congresses at the University of Warsaw – another IDUB Action is dedicated to this).
  • Commitment of the unit organising the conferences – min. 25% of the grant amount.

3. Queries

  • The cost of queries in foreign scientific institutions or those supporting science (archives, libraries, databases, etc.) is financed.
  • Maximum duration of stay is 14 days.
  • Maximum co-financing is PLN 15 000.
  • The condition for settlement of the support is submission within 12 months from the query:
    • an application for a research grant financed from external sources (research funding agencies e.g. NCN, NCBiR, Horizon Europe);
    • or a text in a journal in 25% of the best scores in Scopus (Scival) in the discipline or from the list of the Ministry of Science and Higher Education with 200, 140 or 100 points;
    • or a monograph in a publishing house indexed in the Scopus database from 2016 or from Level II of the Ministry of Science and Higher Education list.

4. Funding for the publications

  • The difference in the costs of publication and planned return on sales is financed.
  • The amount of the co-financing is granted on the basis of a verified cost estimate. The application should be accompanied by a cost estimate verified by the University of Warsaw Press (WUW). The maximum cost of co-financing is the sum indicated by (WUW). WUW does not verify invoices of publishing houses from Level II of the Ministry of Science and Higher Education list.
  • The condition for co-financing is the selection of the publishing house indexed in the Scopus database from 2016 (which includes the University of Warsaw Press) (Excel file) or from Level II of the Ministry of Science and Higher Education list (link).
  • It is possible to withdraw from the above rule in the case of another publication in a series or a publication containing unique content (fonts, maps, etc.).
  • Doctoral monographs may also be financed.
  • Maximum co-financing is PLN 20 000.
  • Commitment of the unit employing the applicant – 25%.

5. Study visits

  • Study visits to prestigious foreign scientific institutions, including universities, to start or intensify scientific cooperation may be financed. To proposal should be attached short justification for the selection of the institution, a description of the expected scientific results and an indication of the persons who will conduct the cooperation.
  • Eligible costs are all expenses related to the trip, including travel and subsistence.
  • Maximum duration of stay is 7 days. A longer stay may be authorised if is justified on financial grounds (e.g. cost of air ticket).
  • Commitment of the entity submitting the project – 25%.

6. Preliminary research

Funding may be granted to carry out preliminary studies aimed at preparing the grant project, which would be run on the UW and financed from external sources (research funding agencies e.g. NCN, NCBiR, Horizon Europe). The financing costs may include:

  • Purchase of reagents necessary to carry out the research, unless the operator has adequate resources;
  • Covering the costs of access to research equipment at the disposal of an entity other than the University of Warsaw;
  • Remuneration for carrying out analyses or expert opinions for preparing the proposal;
  • Remuneration for other work up to 25% of the grant;
  • Covering the costs of arrival of researchers from other units at the University of Warsaw to carry out preliminary studies;
  • Covering the costs of transcription of interviews up to PLN 1,500 in the form of an external service (for PhD students applying for transcription, the unit’s commitment is not required)
  • Maximum co-financing is PLN 10 000;
  • Commitment of the unit is 25%.
  • The condition for settlement of the support is the submission, within 12 months from the completion of the preliminary research, of a grant application from external sources or a text in a journal in 25% of the best scores in Scopus (Scival) in the discipline or from the list of the Ministry of Science and Higher Education with 200, 140 or 100 points, or a monograph in a publishing house indexed in the Scopus database from 2016 or from Level II of the Ministry of Science and Higher Education list.

7. Coverage of the costs of proofreading a scientific text by a native speaker for publication in a journal or chapter in a monograph

  • Coverage of the costs of linguistic correction is possible when submitting a text to a journal in 25% of the best scored in Scopus (Scival) in the discipline or from the list of the Ministry of Science and Higher Education with 200, 140 or 100 points (Excel file) and to a monograph in a publishing house indexed in the Scopus database from 2016 or from Level II of the Ministry of Science and Higher Education list.
  • The cost may be covered on the basis of a contract of mandate/contract work or invoice.
  • The amount of the correction is accepted by the Programme Manager on the basis of cost analysis based on previous experience.
  • Maximum co-financing is PLN 6 000.

8. Call COVID-19 – Preliminary research

  • Founding should be allocated to finance activities that will allow to create or refine a research project that will be submitted to one of the institutions financing scientific research in Poland or abroad, including under European Union programmes.
  • The rules for applying are the same as for the preliminary research founding for other research projects under IDUB.
  • Maximum co-financing is PLN 15 000
  • Commitment of the unit is 25%
  • The condition for settlement of the support is the submission, within 12 months from the completion of the preliminary research of a grant application from external sources.
  • Preliminary research proposals will be accepted until July 3, 2020. Applications will be reviewed on a regular basis.

II. SUPPORT OF PUBLISHING ACTIVITY IN THE OPEN ACCESS MODEL

Rules for purchasing open access for articles and monographs from IDUB funds:

  • Promises may be made to purchase open access for articles submitted to journals in 25% of the best scored in Scopus (Scival) in a discipline or from the list of the Ministry of Science and Higher Education with 200, 140 or 100 points.
    • Maximum co-financing is PLN 15 000.
    • The application should contain: the title of the journal, ISSN number of the journal, DOI number of the article, publisher, title of the article, authors with affiliations, a short description of the task.
  • A promise may be made to purchase out the open access option in the case of monographs accepted for printing in a publishing house indexed in the Scopus database from 2016 or from Level II of the Ministry of Science and Higher Education list.
    • Maximum co-financing is PLN 30 000.
    • The application should contain: the publisher, title, authors with affiliations, a short description of the task.

The payment is made after obtaining a confirmation of acceptance of a given text in a journal or monograph in a publishing house.
